Trust and Transparency in Reporting: Ways to Comply with Versioning and the Audit Trail

In areas that require transparency, such as sustainability and carbon reporting, the accuracy of data and traceability of the process are paramount. At this point, two basic mechanisms such as versioning and audit trails go beyond being mere technical details and turn into strategic elements that directly affect an organization's readiness for audits, its trust relationship with stakeholders and its compliance with international standards.

More than a Report: Tracking Change with Versioning

Versioning, in its simplest definition, is the process of assigning a new version number to a new report after each correction or update to a report. This mechanism, which is a basic requirement of quality standards, plays a critical role for traceability and provides versatile advantages to companies:

  • Making Sense of Changes: The reasons for corrections made as a result of an audit or internal control (e.g. internal audit finding, verifier request, etc.) are clearly tracked. This increases the transparency of the process.
  • Organizational Learning Mechanism: The version history provides a tangible indication of what a company has learned from its mistakes and how it has reflected these experiences in future processes to reduce the margin for error. This proves to the auditor the organization's commitment to continuous improvement.
  • Audit Confidence: When auditors and verifiers see that an organization uses effective internal audit procedures, such as versioning, their confidence in the company's process management increases and they can confidently approve the reports.

Window to the Past: Compliance and Trust with the Audit Trail

This retrospective, clear timeline created by versioning is called an audit trail. It is not only a way for an organization to build trust, but also evidence of compliance with international standards.

  • Compliance with Multiple Standards: An audit trail is a common requirement of many manufacturing and sustainability standards, notably ISO 14064 (Carbon Footprint) and ISO 14067 (Product Carbon Footprint). It means recording that processes are carried out in accordance with the standards.
  • The Foundation of a Sustainable Corporate Structure: The three fundamental principles of sustainability - traceability, accountability and transparency - can only be achieved through a strong audit trail. This mechanism is the key to building a sustainable corporate structure
